Rent receipt example: what to include and why

A rent receipt is the tenant's proof that they paid and the landlord's record of what came in. Below is a complete example for one month's rent and a parking space, with notes on each field, the cases where the law asks for more, and a one-click link that opens the same receipt in the generator.

The example receipt

Receipt numberRENT-2026-11
Date2026-11-01
Payment methodBank transfer

Line 2Parking space — November 2026: 60.00

NotesRent period 1–30 November 2026. Paid in full by bank transfer on 1 November 2026.

The generator adds the lines: 850.00 + 60.00 = 910.00. No tax is added, because a receipt records the amount that was actually paid.

What each field does

Who received and who paid

Put the landlord's (or letting agent's) name and a contact address under "Received by", and the tenant's full name under "Received from". If several tenants share the rent and pay separately, issue one receipt per payer, so each person has proof of their own share.

A receipt number

A number such as RENT-2026-11 (year and month) makes each receipt unique and easy to find. If you rent out more than one property, add a short property code, for example RENT-3B-2026-11.

The period and the property

The single most useful detail on a rent receipt is which period the payment covers. "Rent — November 2026, Flat 3B" settles questions months later; "Rent" does not. Name the property, too, if the receipt could ever be read by someone who does not know the tenancy.

Separate lines for separate charges

Rent, parking, service charges and utility contributions are different things. Listing them separately shows exactly what was paid and makes it easier to deal with any later dispute or rent change.

Payment method and date

Cash payments leave no trace except the receipt, so for cash a receipt matters most. For bank transfers the bank statement is also evidence, but a receipt still confirms that the landlord treats that month as paid in full.

When the law asks for more (England and Wales)

  • Weekly rent: a rent book. Under section 4 of the Landlord and Tenant Act 1985, where a tenant has the right to live in a property for a weekly rent, the landlord must provide a rent book or other similar document. It does not apply where the rent includes board making up a substantial part of the rent, or to occupation contracts under the Renting Homes (Wales) Act 2016. A series of numbered receipts can serve as a record, but check that it meets the rent book rules for your case.
  • Deposits must be protected. GOV.UK says a landlord or letting agent must put a tenancy deposit in a government-approved scheme (Deposit Protection Service, MyDeposits or Tenancy Deposit Scheme) within 30 days of getting it. A receipt for the deposit is useful, but it does not replace protecting it.

Rules in Scotland, Northern Ireland and other countries differ. If your tenancy is outside England and Wales, check your local housing authority's guidance.

Mistakes to avoid

  • Issuing the receipt before the money has arrived or cleared.
  • One receipt for several months without saying which months.
  • Mixing rent and deposit on one line: they are treated differently and should be shown separately.
  • Not keeping a copy. The generator does not store anything; download the PDF and keep it with the tenancy records.

Frequently asked questions

Does a landlord have to give a rent receipt?

In England and Wales a landlord must provide a rent book or similar document where rent is paid weekly (Landlord and Tenant Act 1985, s. 4). For monthly rent there is no general receipt duty in that Act, but a receipt is still good practice, especially for cash.

Can a tenant write the receipt?

A receipt should come from the person who received the money. A tenant can prepare one and ask the landlord to confirm it, but the confirmation is what makes it evidence.

Is a bank transfer enough proof?

A bank statement shows that money left your account. A receipt also shows what the landlord accepted it for, which matters if there is ever a dispute about which month was paid.
